LOOKING FOR A SKILLED ADMINISTRATOR WHO CAN HANDLE SENSITIVE DATA WITH CONFIDENTIALITY

Ellis Mason have partnered exclusively with a high achieving business based in Hertfordshire to help them find an EXECUTIVE ASSISTANT

The EXECUTIVE ASSISTANT will support the Sales, Accounts and HR Directors. 

You will assist with travel, meetings, business expenses, presentations, reports, compliance and more. As the EXECUTIVE ASSISTANT, you will be exposed to confidential data and it is essential that you can be trustworthy and use your discretion when when handling this.

THE SALARY & BENEFITS

  • Salary is dependent on experience but £25,000-£32,000, is a guideline. If you are outside of this but close, please still apply.

  • Monday to Friday office hours of 9am - 5pm (30 mins lunch) on a permanent, full time basis

THE JOB

The main duties included within the role of the EXECUTIVE ASSISTANT, are:

  • Booking meetings, booking venues, sending invites, etc
  • Arranging travel and overnight accommodation
  • Checking through employee expense claims
  • Producing sales presentations
  • Running & analysing reports
  • Assisting with the production of ad hoc marketing material
  • Submitting compliance documents
  • Chasing and actioning things such as projects, legal responses, e-mail follow ups, etc
  • Calculating and preparing employee bonuses
  • Coordination of business mileage forms
  • Handling employee credit card statements including collection of receipts, raising bank queries, etc
  • Company car administration such as: speeding and parking fines, dart charge/congestion zone payments, handling insurance claims, etc
  • Setting up new employees with mobile phones, handling mobile based queries and downloading of monthly bills
  • Assisting the HR Director with sickness returns and recording of time off
  • Administer the compulsory online training programme within the business
  • Health & safety assistance
  • Minute taking in management meetings, grievance meetings, etc
  • Building maintenance assistance (such as booking in required sub-contractors to carry out jobs)
  • Handling the cleaners contract as well as stationary ordering. 
  • Adhoc tasks that may arise
