Ellis Mason are recruiting for an OPERATIONS ADMINISTRATOR to join an award winning, customer focussed commercial vehicle manufacturer based in Hertfordshire.

As the OPERATIONS ADMINISTRATOR, you will be responsible for providing administrative and reporting assistance to all areas of the business within operations, such as warranty, technical and repairs.

We're ideally looking to speak with candidates from the automotive sector, with experience working within a dealership or a manufacturer background within aftersales, service or operations. 


  • Full time, permanent role
  • Monday to Friday 9am to 5pm
  • Base salary up to £26,500
  • Generous pension scheme

  • Organise parts returns from the dealer network to the manufacturer and suppliers as required
  • Administer all special tool requirements including invoicing
  • Administer all Operations department bulletins
  • Control supply of Service literature and invoicing
  • Administer dealer start up process and follow up with inter departmental colleagues
  • Administer dealer contracts
  • Collate dealer audit letters, dealer standards, results and report in the agreed format
  • Administer any departmental recharges weekly
  • Administer customer recharges, for costs received not covered under R&M
  • Arrange and administer Direct Debit mandates/ accounts
  • Administer any other contract data as required such as extended warranties
  • Arrange customer log ins for I-Maintain system
  • Allocate vehicle costs not authorised through I-Maintain
  • Using various systems, gather data, collate and produce weekly/monthly reports in different formats such as PowerPoint and Excel
  • Administer online training system, including courses, bookings, log ins, and cleansing
  • Collate training reports and training feedback
  • Organise certificates for passed finalists
  • Organise catering requirements & needs prior to and during F2F
