DO YOU HAVE EXPERIENCE IN BOOKING TRAVEL OR CREATING EXTENSIVE ITINERARIES?

Ellis Mason have the pleasure of recruiting a TRAVEL, DIARY & EVENTS ASSISTANT for an exciting business based in Stevenage. The role will be hybrid but mostly home based with four days being from home and one in the office. 

At times, you will be required to drive to a another local based office and therefore you must be able to drive and have access to your own vehicle.

This is a relatively junior role and would suit someone who perhaps has a year or twos experience within a related role or perhaps a graduate with a relevant degree subject. The important factors in this role are attention to detail and organisational skills.


As the TRAVEL, DIARY & EVENTS ASSISTANT you will work in a small team and you will work closely with the owning Directors of the business.

THE SALARY & BENEFITS

  • Permanent, full time basis.
  • Up to £25,000 - £27,000 per annum
  • Annual bonus
  • 20 days holiday plus 8 bank holidays - increases to 25 days with service

THE JOB

The main duties included within the role of the TRAVEL, DIARY & EVENTS ASSISTANT, are:

  • Ensure that all business and personal movements for all relevant staff are scheduled, recorded and updated within the company diary system
  • Creating agendas for meetings
  • Scheduling and arranging internal and external meetings
  • Making and re-confirming bookings such as restaurants, theatre trips, etc
  • Making taxi and courier bike bookings
  • Checking/booking train times and tickets
  • Preparing 'look ahead' schedules for the whole years movements
  • Booking private medical appointments on behalf of the Directors
  • Assisting with the booking of all travel requirements, including producing itineraries
  • Booking flights and accommodation
  • Ensuring that itineraries are planned, produced and updated at all times
  • Prepare travel folders containing flight information, hotel vouchers, etc
  • Assisting with the renewal of passports, visas and ESTAS
  • Work on upcoming events
  • Booking event suppliers
  • Producing promotional items for events
  • Creating event programmes
  • Maintenance of function sheets, cross checking them with travel and diary movements at all times
  • Processing invoices and analysing budgets
  • Administrative tasks that relate to all above tasks and other adhoc project support
